πŸ“‹ Reports To: Head of NGO, Location - (Malabar Hills Nepean Sea Road) / (Daily Reporting by traveling to her home )


Role Overview:

We are seeking a highly organized and proactive Personal Secretary to support the Head of our NGO. The ideal candidate will manage daily schedules, coordinate communication, and ensure seamless administrative operations. This role is pivotal in enabling the executive to focus on strategic priorities by efficiently handling logistical and organizational tasks.


Key Responsibilities:

1. Calendar & Schedule Management

  • Organize and maintain the Executive’s daily calendar including meetings, appointments, and travel plans.

  • Provide timely reminders and ensure the Executive is well-prepared for all engagements.

2. Communication Management

  • Serve as the first point of contact for all correspondence – calls, emails, and messages.

  • Draft, edit, and proofread letters, emails, reports, and other official documents.

  • Accurately relay information between the Executive and internal/external stakeholders.

3. Meeting Coordination

  • Schedule and coordinate meetings – prepare agendas, book venues, and arrange logistics (e.g., catering).

  • Record minutes of meetings and ensure timely follow-ups on action items.

  • Liaise with departments and partners to support collaborative initiatives.

4. Event Support

  • Assist in planning and executing corporate events, conferences, and social functions as needed.


Qualifications & Experience:

  • Education: Bachelor’s degree in Office Management, Business Administration, or a related field (preferred).

  • Experience: 3 to 5 years in a similar role, preferably supporting senior-level executives.


Key Skills:

  • Exceptional organizational and time-management abilities.

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • High level of discretion and professionalism in handling confidential matters.

  • Ability to multitask, prioritize work, and perform under pressure.
